Automated Parts Tracking for Fitness Equipment Repairs

The Challenge
A fitness repair services company was spending hours every day manually visiting UPS and FedEx websites to check tracking numbers for replacement parts. Each repair job depended on these parts, and manually updating the status in Airtable was time-consuming and error-prone.
The Solution
I built a custom automation that fetches tracking status several times per day and updates the Airtable base automatically. The system intelligently reduces API usage by:
- Checking delayed shipments only once per day instead of multiple times
- Stopping checks entirely for delivered packages
- Pausing checks for shipments that haven't started moving yet
The Result
The automation gave the team accurate, real-time tracking inside Airtable while keeping API costs low. It eliminated hours of manual work and made the entire repair workflow much smoother.

- Centralized view showing all instructor responses in one place
- Built an automation to sync events from their third-party platform into Airtable
- Simplified the process of matching training sessions with instructors and resources
