How to Email an Airtable Dashboard or Interface
Need to send an Airtable dashboard to someone by email? Airtable can send the numbers from your dashboard or include a link to the Interface, but it cannot take a screenshot of the Interface and place it in the email automatically.
The best setup depends on what the recipient needs. Send a link when they should open the live dashboard, send the numbers when they only need a quick update, and create an image or PDF when the email needs a fixed copy of the report.
Send the Interface as a link
If the recipient can open Airtable, send the Interface link instead of copying the dashboard into an email. They can open the current version of the dashboard and use its filters and other available controls.
Open the Interface, click Share, and copy the invitation link. If the recipient should not need an Airtable account, you can share an individual Interface page publicly on a paid plan. A public page is read-only, and anyone with the link can open it.
If the recipient should receive the link automatically, add it to an Airtable Send email action. You can include the Interface link in the message along with a short explanation of what the dashboard shows. For help sharing an Interface with different types of users, see how to share Airtable Interfaces with clients.
Send the dashboard numbers in an Airtable email
If the recipient only needs the latest figures, send those values in the email instead of trying to recreate the dashboard image.
Create a Snapshots table with fields such as Snapshot date, Open projects, Overdue projects, and Completed this week. If the dashboard already gets these numbers from a summary record, use those same fields when creating the Snapshot record.
Create an automation that makes a Snapshot record and maps the current values into it. Use At a scheduled time when the email should go out every day or week. If someone should choose when to send it, use an Interface button to run the automation instead.
Add a Send email action after the record is created. Insert the Snapshot fields into the email body so the recipient sees the latest figures without opening Airtable.
This sends the dashboard's data, not a picture of the dashboard. If the email needs a list of the records behind the numbers, see how to send a list of Airtable records in one automated email.
Send a PDF or image of the dashboard
Airtable cannot render an Interface page, dashboard, or view as an image inside an automation email. Airtable's Send email action can send an image that already exists, but it does not create a dashboard image for you. See Airtable's current Send email documentation.
Build a template that contains the same numbers, charts, and branding as the Interface. For a PDF, use DocuMint or DocsAutomator to create the report from the Airtable values. You can use Make to connect the Airtable record to the document tool when the tool does not have the Airtable workflow you need.
Have the workflow save the finished file in an attachment field on the Snapshot record. An Airtable automation can then add that attachment to its Send email action. For the attachment step, see how to email a PDF attachment from Airtable.
This creates a report based on the dashboard's data. It does not capture the Interface itself, so changes to the Interface layout need to be made in the document template too.
If you want the dashboard and the report to stay visually similar, keep the Interface and the document template simple enough to update together. For a broader comparison of Interface dashboards and external reporting tools, see how to connect Airtable to a dashboard.
